Below we answer key questions about terms of cooperation, payments, rates, requirements and procedures. This is a practical guide for carriers considering permanent cooperation with our freight forwarding company.
What is the payment term for carriers working with Antrans BiS?
The standard payment term is [14/21/30] days from the delivery of transport documents (CMR with recipient’s signature and invoice). According to Trans.eu ‘s 2024 report, the average payment term in the TSL industry in Poland is 30-45 days, which is often a problem for carriers with less liquidity. At Antrans BiS, we focus on punctuality– we make payments on time according to the contract, which you can verify in the National Debt Register.
For carriers processing a minimum of [X] orders per month, we offer a reduced payment term and the possibility of negotiating individual settlement terms. Documents can be sent electronically (CMR scan + invoice) to a dedicated email address, which speeds up the verification and payment process.
What mileage rates are you offering carriers in 2026?
Rates per kilometer are determined individually depending on the route, type of vehicle, frequency of cooperation and the current market situation. In 2025, the average rates for international transport according to GP-TRANS are 6-12 PLN/km (1.2-3 EUR/km), depending on the direction. Western routes (Germany, Benelux, France) have higher rates due to high tolls (German Maut, Swiss LSVA) and higher operating costs.
For regular partners, we offer preferential rates and a guarantee of minimum kilometers per month on agreed routes. In addition, we include a fuel clause – adjustment of the rate at significant changes in fuel prices (according to the average wholesale price of PKN Orlen), which protects the carrier from sudden increases in costs. What are the minimum requirements for carriers wishing to work with Antrans BiS?
The basic requirements are a Community license for international transport, a minimum of €300,000 of third-partyliability insurance, a fleet in good working order (not older than [X] years) and experience in international transport. According to EC Regulation 1071/2009, a carrier must have a certificate of professional competence, good reputation (no serious infringements) and financial capacity (EUR 9,000 for the first vehicle, EUR 5,000 for each subsequent vehicle).
Required types of vehicles, i.e. truck tractors with curtain/spandex, mega, refrigerated trailers with a payload capacity of up to 24 tons. We prefer vehicles that meet the emission standards of a minimum of Euro 5, and ideally Euro 6, due to restrictions on entry into LEZs in Germany, Belgium or the Netherlands. Drivers must have valid documents: a cat C+E driver’s license, driver’s card, up-to-date medical examination, and observe drivers’ working hours in accordance with EC Regulation 561/2006.
Does the carrier need to have its own TMS or order management application?
No, an in-house TMS is not required – cooperation can be conducted by phone, email and traditional documents. For carriers preferring modern solutions, we offer access to an online platform, where you can view available orders, confirm acceptance, track execution status and send documents electronically. According to the PwC report “Logistics in Poland 2024”, 64% of TSL companies in Poland use TMS systems, which significantly speeds up communication and reduces documentation errors. We recommend installing GPS/FMS applications in vehicles (e.g., Webfleet, Transics, Trimble) – this allows you to monitor shipments in real time and react quickly in case of delays. Most solutions are available as a mobile app for drivers, making it easy to electronically confirm events (loading, unloading) and upload CMR photos. If the carrier already has a TMS in place, integration via EDI (Electronic Data Interchange) for document exchange automation is possible.
What are the benefits of a long-term contract?
A framework agreement for 6 – 12 months provides: a guarantee of a minimum of 8,000 – 12,000 km/month, higher rates by 5 – 10%, reduced payment terms and priority on attractive orders. In addition: simplified billing (self-invoicing, recurring payments), a dedicated caregiver familiar with the specifics of your fleet, and communication in advance with seasonal fluctuations in demand. 74% of carriers prefer long-term cooperation due to better revenue predictability. Flexible contract – no termination penalties with 30 days’ notice.
What does driver support look like on the road?
On-call freight forwarder available 24/7 by phone in Polish, English and German. Support in case of, for example, vehicle breakdown, delays, problems at the border, cargo refusal, or even a routine police check on the road. The freight forwarder coordinates activities: contact with the customer, organization of a replacement vehicle, assistance in communication with foreign services. Drivers are given detailed loading/unloading instructions, warehouse contact information and full ADR documentation for dangerous cargoes. Comments on orders can be made. We clarify matters on an ongoing basis and safeguard the interests of both parties.
Do I have to have third-party liability insurance and what should the coverage amount be?
OCP insurance is voluntary, but in practice necessary – most freight forwarders require a minimum guarantee sum of EUR 500,000 for international transport. Domestic OCP policy costs from several hundred zlotys per year, international from several thousand zlotys, depending on the guaranteed sum and the type of goods transported. The insurance protects against liability for damage, loss or theft of cargo during transport. A standard third-party vehicle liability policy does NOT cover damage to cargo – it only covers road collisions. Check exclusions before signing: most policies do not cover the carriage of ADR, works of art, live animals, or parking in unguarded parking lots above a certain amount.
Can I perform cabotage and what are the current rules?
After international unloading, you can carry out a maximum of 3 cabotage operations in 7 days, then you must wait 4 days before carrying out further operations. Cabotage requires a Community license, CMR documentation confirming international carriage, and the same vehicle (or the same tractor in the case of a kit). You can perform 1 cabotage without cargo in a country other than the place of unloading (in a maximum of 3 days).
Fines for violations are severe because in Germany up to €2,000 for the carrier + €100 for the driver, in France up to €15,000. Watch out for LEZs and local minimum wage laws (e.g. MiLoG in Germany).
Can I refuse to accept an assignment after signing the contract?
In the framework agreement, you can refuse a single order for legitimate reasons breakdown, lack of a driver, a vehicle busy with another order or an emergency situation. We respect the partnership approach to cooperation.
However, constant refusal of orders leads to moving you to the end of the queue on attractive routes. In the case of one-time orders, once you confirm acceptance (e.g., by email) you are bound – refusal without justification may result in a contractual penalty or termination of cooperation. Always read the T&Cs (General Terms and Conditions) – there the rules for cancellation of orders by both parties are specified.
We operate in a fixed order system between forwarder and driver without unnecessary involvement of the owner. At the request of the carrier, we create communication channels where the owner of the company can see the entire correspondence between the forwarder and the driver.
Does the shipping company cover highway and fuel costs?
The standard rate per kilometer (PLN 6 – 12/km) includes operating costs, including fuel and highways. Long-term contracts often include a fuel clause – an automatic adjustment of the rate upon significant price changes (e.g., above 10% according to the PKN Orlen average).
If the route requires particularly expensive tolls (bridges, tunnels like Gotthard, Brenner), a surcharge can be negotiated. Never pay for a freight forwarder out of your own pocket – all costs must be determined before accepting an order. Some freight forwarders offer fuel cards or a one-time billing system for specific routes.
